Full job description

We are looking for a innovative and enthusiastic administrator to join the team of administrators and medical secretaries at the Enfield Integrated Learning Disability Service.

The role will be to provide efficient and effective administration to predominantly the Clinical Lead and the Community Nursing team, but to also offer cover and support to the administration team.

This will include all administrative tasks including answering the telephone in a professional manner, welcoming service users, family carers, support workers and various health and social care professionals, minute taking, letter writing, report writing, maintenance of data bases and spreadsheets and all administrative duties required to provide an efficient learning disability service.

Main duties include, but are not restricted to :
Provide administrative support to the Clinical Lead and Community Nursing team in relation producing documents, maintaining spreadsheets, updating databases and clinical correspondence.

Dealing with all incoming and outgoing mail, processing, distributing and responding within agreed time scales.

Co-ordinate and facilitate the dissemination of information to and from the team.

Dealing efficiently, precisely and courteously with telephone callers.

Taking and producing concise minutes for team meetings/clinical meetings and other meetings as directed

Meet and greet visitors on site for clinic appointments and visits.

To provide reception support where required.

To provide administrative support to the medical secretaries when required

Enfield Integrated Learning Disability Service is an integrated health and social care team working together in partnership with our providers to meet the needs of people with a learning disability living in Enfield.

We are a multidisciplinary team including Psychiatry, Psychology, Community Nursing, Occupational Therapy, Physiotherapy, Art Therapy, Speech and Language Therapists, Administrators, Medical Secretaries, Social Workers, Employment Officers, Outreach workers and assistants.

MAIN TASKS AND RESPONSIBILITIES:
Communication

Communicate effectively and use appropriate interpersonal skills with people both internally and externally, maintaining the professional reputation of the Trust and the Integrated Learning Disabilities Service at all times.

Respond to enquiries in a friendly, professional and courteous manner, resolving issues where possible or escalating to an appropriate team member when required.

To ensure that messages, referrals and enquiries are accurately recorded and received and passed onto the learning disability community nurse team in a timely manner

To escalate to supervisor any issues and problems that may affect the clinical running of the learning disability service.

Patient/Customer Care (if applicable) (both direct and indirect)

Develop and provide a professional level of customer service for the Integrated Learning Disabilities Service and community nursing team.

Portraying a professional image, maintaining confidentiality at all times.

People (HR) Management

To assist with the induction and training of newly appointed staff.

Responsible for updating the nursing education team’s annual leave sickness etc. via the trust eRoster system.

Information Management

Arrange meetings, book venues and send out meeting invites as requested by the community nursing team

To actively participate, prepare agenda and take minutes in regular and ad hoc meetings as required.

Develop and maintain databases/spreadsheets as required

Adhere to the GDPR/Data Protection Act and its requirements, in respect to confidentiality and ensuring any computerised information system is maintained as requested.

Policy Development

To support with the administration of the CN team and keeping up to date with current processes.

Service Development

To continuously contribute to the progression and development of the Integrated Learning Disabilities Service, community nursing team through the provision of a high-quality administrative service.

To develop and maintain office administration systems, including filing systems, photocopying, and general office duties.

Resource Management

Ordering supplies as required by the community nursing team.

To book interpreters and other support services, as required.

To ensure a personal duty of care in relation to equipment and resources and to work within agreed resources.

Systems and Equipment

Good working knowledge of Microsoft Office 365.

Effort, Mental and Environment

To work as part of the medical administration team carrying out the clerical duties pertaining to the service in a timely and efficient manner, meeting deadlines

To prioritise and allocate workload as appropriate in order to maintain standards of service.
